5 Easy steps to write a resignation letter and move onto your ideal opportunity! 


Let’s start with the facts, what is a resignation letter?  

 A resignation letter is an official document that expresses the intent to end your employment with a business. Through this resignation letter, you are formally starting the process of leaving your job.  

 It is often advisable to have verbal communication with your manager or HR department (if applicable) before submitting a resignation letter. It is essential to send your resignation letter/email before your last working day – Tip: check your contract to see the notice period your business require.  

 When writing your resignation letter, it will be straightforward with the following steps.  

  1. Start with the subject line (if sending an email)  

  Your email subject needs to capture the attention of your manager or HR department (if applicable), so it is essential to keep it to the point and professional. Make sure the subject line states your intention and your name to prevent getting lost in an email inbox.  

Some examples of subject lines are:  

  • Resignation announcement – your name  
  • Resignation notice – your name  
  • Notice of resignation – your name

  • Resignation effective immediately – your name  
  • Immediate resignation – your name

  1. Address your manager  

  Typically, you will give your resignation letter to your manager, so start the resignation document with their name, such as ‘Dear [Managers Name]’  

  

  1. State your reasons for resigning   

After the greeting, If you are able and feel comfortable doing so, briefly mention the reasons for resigning from the company, however, don’t delve into too many details.   

You need to mention your last working day at the company.

  In the third and final paragraph, offer your assistance in completing the entire transition process. When you offer this assistance and show your intent to create a peaceful transition, you increase the chances of winning a reference.
